Speaker Summaries: Michael James – Operations Manager, Empowering-Communities

New Dashboard
We now have Lists, Stats and My Workload on the Dashboard and some new galleries – Stalking, Child Sexual Exploitation and Gangs/Operation Holdcroft.

We’ve added in the MORE button and behind here are other galleries which has given us scope to grow as new areas of business start using the system.  We have MASH on here for example because sometimes people don’t fit into those other areas of business.

We have also redesigned the galleries with speed improvements. The galleries are more user friendly.  For example, the prison band was only used in the offender management gallery but we have now put that into all the galleries so you have the ability to see your profiles who have gone to prison from any of your galleries.

Notifications
We’ve further developed the Register an Interest feature. You can now Register a Notification within a profile so that you will be told if people are adding information to a profile you are working with.  The Notifications tab on a profile now enables you to register for lots of different information and receive an email whenever somebody adds a new report, action or event about an individual you are working with.

This feature is also available in Cases so you will no longer need to check every case you are working with every day.  Your registered notification will tell you if anything changes.

Quick view on reports
The user groups told us you want to be able to catch up very quickly when viewing a profile to see what people have added to it.  The quick view enables you to hover over a report and rather than clicking into it you get a quick view pop up very quickly.

Licensing
Building on from Fenland’s work with Licensing we we have built in risk assessments for Licensed Premises and it is used from within the Cases Gallery.  At first view it shows you all the cases you could be managing but we can then filter that so you can see all your licensing cases across the whole county, or by district, or smaller areas.  Instead of seeing all Licensed Premises at a click of the button you could choose to just see your medium sized premises cases.

We have also added a built-in scoring system so for example if there was a homicide it would automatically increase the score to a High Risk Category Premises.

DASH Forms
Paladin approached us to tell us what they ware trying to do around stalking.  Laura Richards was fundamental in the original creation of the DASH forms so she wanted to create them electronically within the system.  We have built these into E-CINS so that when you go to add a RAM report, the full DASH report is there and also a stalking DASH too.  We made the forms more user friendly by pre-populating data.

Auto-saving Forms
We are currently working on this. As you are filling out the form it will auto save it in the background.  You will have the ability to save progress and the ability to complete it as well. You can always come back and edit it live within this form but you will also have a section in your workload that says Assessment in Progress.  For your Reactive Policing Teams who may get called out halfway through filling it in it allows them to pick it up at any time in the future.  This facility will be available for the DASH forms and the ASB risk assessments too.

The Family Assessment
If you are working on a families case as part of the Troubled Families Agenda you can have a full family assessment. You can have assessments in progress and completed ones.

There are approximately 110 questions within the database. You can create your own family assessments, an initial basic one or a full in-depth assessment.  As you are working with the families you can build it as you’re going along.  Some questions will be in relation to all of the family members, some may be in relation to the children only.  The ability to save it as you go along is there. There are a variety of questions such as employment, education, characteristics of the family, crime – have the police been called to the household within the last three months? You can ask questions directly within the assessment, it repopulates the question for you and you can task that out to the relevant person who might know that information and they can come back to you with the answer.

Taskings
We were asked to adapt the tasking so that you have the ability to task in hours rather than days. You will still see the same date drop down but you can now select a time.

Within the My Tasks we have redesigned this page so you can more easily see overdue tasks or uncompleted tasks.  We’ve also improved the tasking page so you can more easily see what a task relates to.  In addition we have added a countdown so you can see how much time you have left to complete your task.

It was previously only possible to task a single person but now you can task multiple people – as many as you like.

Vehicle and Address Search
We have created the ability to add a Vehicle Profile so that you can search for all vehicles and then you can filter it down by different types ie. Cars, motorcycles. You can also do a registration search and view anything that is attached to the vehicle – any reports, profiles, or associate links.  Lots of people are working with these vehicles and adding information about them but now this tool brings it all together.

We’ve laid the foundations for some work we are going to be doing in the future on address searches.  Currently you can put an address on a profile but we are going to enable you to attach an address to reports too so you will be able to see any people who are living there and any reports attached to it.  It might flag something up that you possibly didn’t know about before.

We’re also going to improve the postcode finder and also you can search on any part of the address as opposed to just the post code.

Emails
We’ve redesigned the emails so that we now have full html emails within the system.  We also looked at how we could improve them; currently if you haven’t completed a task you will get an email every day until you do.  If you have 8 tasks you will get 8 separate emails.  What we’ve done now is added them all in together so you get a list on one email of all the tasks you have to do.

New navigation and layout ideas
We are looking to improve the day to day use of the system by giving you the ability to get to anything from anywhere. We are also going to create a notification centre within the system so you can see all the notification emails you have. All your messages, tasks and notifications will be accessible from the top of every page.

We have lots of ideas and welcome any ideas you have on how to improve the system!
